Job Description
'XCo-ordinate with Divisions to obtain travel plans in advance to obtain best air fare rates from travel agents/ airlines.
'XProvide weekly/fortnight/monthly KPI reports on travel services and costs.
'XReview the TRAs forwarded by employees before forwarding to travel agent to ascertain the employee eligibilities, routes, excess fares etc.,
'XCo-ordinate with Administration Department for timely issuance of Exit V Re entry Visas for Travel
'XProvide weekly/fortnight/monthly KPI reports on travel services and costs.
'XAnalyse travel costs by air lines, by sector etc and negotiate with the travel agents/airlines to obtain corporate deals, group deals and special rates as well as minimising the travel inconvenience to the employees
'XOrganising and arranging employees range of travel, holidays and business trip requirements and this involves supervising all arrangements necessary for the fulfilment of holidays, booking flights, reservations, etc.
'XProducing appropriate client documentation in an accurate and timely manner. This will variously include itineraries, joining notes, guidebooks, maps, tickets, etc.
'XSupervising all changes effectively, including employee communication, to maintain excellent customer service and holiday quality.
'XBuilding and establishing a travel quotation pool through the prospective Travel Specialist/Agencies.
'XMonitoring quotations submitted on regular basis or upon changes.
'XAwarding travel requests to the lowest bidder regularly.
'XSupervising all changes effectively, including client communication, to maintain excellent customer service and holiday quality.
'XAs required, respond to employees enquiries in a professional, knowledgeable and timely manner.
'XSupporting and assisting the external Travel Service provider to create customised itineraries for all Client staff that meet their requirements and which fulfil Almarais mission to deliver excellent travel service.
Desired Candidate Profile
1.Co-ordinate with Divisions to obtain travel plans in advance to obtain best air fare rates from travel agents/ airlines.

5.Analyse travel costs by air lines, by sector etc and negotiate with the travel agents/airlines to obtain corporate deals, group deals and special rates as well as minimising the travel inconvenience to the employees.
6.Supervising all necessary travel arrangements and employees travel requests (holiday, bookings, reservations, etc.) in order to fulfil booked holidays.
7.Establishing a travel quotation pool through the prospective Travel Specialist/Agencies and to award travel requests to the lowest bidder regularly whilst continuously monitoring all travel quotations submitted on regular basis or upon changes.
8.Ensuring that all travel requirement and requests made by all staff are completely and accurately made and checked in a timely manner.
9.Ensuring that all travel requests and other requirements meet Almarais commitment to operate in a sustainable and responsible manner.
10.Supervising all the communication and ongoing relationships with external travel agencies and agents to ensure that they are able to deliver the service required and that all issues are dealt with.
11.Quickly and effectively deal with crises, emergencies and last-minute changes to provide and assist all staff with respect to their holiday and emergency travel request.
12.To organise and arrange employees range of travel, holidays and business trip requirements and this involves supervising all arrangements necessary for the fulfilment of holidays, booking flights, reservations, etc.
